1. Who we are
Hampshire Business Events ("we", "us") runs app.hampshire.events and hampshire.events. We are the controller of the personal data described in this policy. Contact us about anything here at [email protected].
When you book onto an event or send a hire enquiry, the organiser or venue you deal with also becomes a controller of the details we pass to them, and they are responsible for how they use them.
2. What we collect
- Your account. Name, email address and sign-in details. Passwords are handled by our authentication provider; we never see them.
- Your profile. Anything you choose to add, such as your job, the industries you work in, and your contact preferences.
- Organisations, venues and events. The listings, venues, rooms, arrival guides and organisations you create or help run, and who is on their teams.
- Bookings and attendance. The events you book, request or join a waitlist for, your tickets, whether you were checked in, and any messages connected to them.
- Hire enquiries. The details you give a venue when you ask about hiring a room.
- Payments. Tickets and hire are paid through Stripe. We receive a confirmation, amount and payment reference. We never see or store card details.
- Usage. Pages viewed, searches made and actions taken, recorded in our own activity log. Signed-out visitors get a random identifier in their browser that is not linked to a name.
- Technical. Server logs including IP address, browser and time, for security and fixing faults.
3. Why we use it, and our lawful basis
- To run your account, bookings, tickets, listings and enquiries: to perform our contract with you.
- To pass your booking or enquiry to the organiser or venue: to perform our contract with you, so the event or hire can happen.
- To send you emails about your account, bookings and changes to events you are booked on: to perform our contract with you.
- To keep the app secure, prevent fraud and abuse, and fix faults: our legitimate interests in running a safe service.
- To understand what is useful and improve the app, using our own analytics: our legitimate interests. If your browser sends a "do not track" signal, we do not record this for you.
- To keep records we must keep, such as payment records: our legal obligations.
- Optional updates about events you might like: only with your consent, which you can withdraw at any time from your profile or the link in each email.
4. Who we share it with
- Organisers and venues you book with or contact, as described above.
- Service providers who run parts of the app for us under contract: Supabase (database and sign-in), DigitalOcean (hosting), Stripe (payments), our email provider (sending emails), and map providers (map tiles, which see your IP address when a map loads).
- Public listings. Event, venue and organiser listings, including any contact details an organiser or venue chooses to publish, are public and appear in our feeds and on other websites that embed them. Your attendee details are never published.
- When the law requires it, or to protect people's safety or our rights.
We do not sell your data and do not use third-party advertising trackers.
5. International transfers
Some providers may process data outside the UK. Where they do, we rely on adequacy decisions or appropriate safeguards such as the UK International Data Transfer Addendum or equivalent contractual protections.
6. How long we keep it
- Account and profile: while your account is open, then deleted or anonymised within 90 days of closing it.
- Bookings and attendance: up to two years after the event, so organisers can see who came and you can see your history.
- Payment records: six years, as required for tax and accounting.
- Activity and server logs: up to 12 months.
7. Your rights
You can ask to see, correct, delete or move your data, object to or restrict how we use it, and withdraw consent where we rely on it. Email [email protected] and we will reply within a month. You can also complain to the Information Commissioner's Office (ico.org.uk), though we would appreciate the chance to put things right first.
8. Children
The app is for adults. We do not knowingly collect data from anyone under 18.
9. Changes
We will update this policy if what we do changes, and tell you about significant changes in the app or by email. The date at the top shows the latest version.
